Practice Fusion Patient Texting

Patients text the number they already call, and every reply lands in one shared inbox. Contacts are built from your Practice Fusion charts, so there is no second address book to maintain and no personal mobile numbers involved.

How texting fits the day

Most patient questions are a sentence long. Making someone log into a portal to ask them is why the phone keeps ringing.

1

Set up the number

Add texting to the office number patients already have, or take a new one. Incoming calls on an existing line are unaffected.

2

Message from the chart

Start a conversation from the Practice Fusion patient you have open, with the contact built from the chart instead of typed in by hand.

3

Answer from one inbox

Replies land in a shared inbox, so whoever is at the desk can pick up a thread someone else started.

What practices say

The contact list builds itself

Contacts are created from Practice Fusion patient charts rather than maintained separately. When a patient's number changes in the chart, you are not also hunting for a stale copy in a messaging tool.

  • Contacts auto-created from Practice Fusion patient charts
  • Message a patient directly from the chart you have open
  • No second address book to keep in sync
  • Staff text from the practice number, never a personal phone

Conversations can become part of the record

A text thread where a patient describes a symptom is clinically relevant. Export the conversation, and it attaches to the Practice Fusion chart as a document, so the exchange is not stranded in a messaging app.

  • Export a conversation and attach it to the Practice Fusion chart
  • Pull photos and files a patient sent into the chart
  • Keeps images off staff phones and workstations
  • The thread stays readable in context rather than as a screenshot

Secure when it needs to be

Appointment reminders do not need the same handling as clinical detail. Ordinary SMS covers the logistics. A secure link that verifies the patient's identity covers anything involving PHI, and the patient never has to create an account.

  • Plain SMS for reminders and scheduling
  • Identity-verified secure messages for clinical content
  • Saved templates for the questions asked twenty times a week
  • One-way broadcast or full two-way, configured per use

Patient messaging in Practice Fusion

The messaging capability set is the same across every supported EHR. What differs on Practice Fusion is that conversations and their attachments file back to the chart.

Questions we get asked first

The things Practice Fusion practices want settled before a demo.

Can we text from our existing office number?

Usually, yes. Texting can be added to the number patients already have without disturbing voice service on that line. That matters because patients ignore numbers they do not recognize. A new number is also an option.

Do patients need an app or a portal login?

No. Messages arrive in the normal SMS app. For content that needs protecting, the patient opens a secure link that verifies their identity. There is still no account to create.

Does the conversation end up in the chart?

Only when you export it. A conversation can be attached to the Practice Fusion chart as a document, and files or photos from the thread can be imported separately. Routine scheduling chatter can stay out of the record.

Who sees incoming replies?

Everyone with access to the shared inbox, so a reply is not sitting unread because one staff member is out. Conversations can be assigned when something needs a specific person.

Is texting patients actually HIPAA compliant?

Plain SMS is not a protected channel, which is why clinical content goes through the identity-verified secure message instead. We sign a Business Associate Agreement, and the compliance detail is on our HIPAA page.
