Practice Fusion Cloud Faxing

Faxes arrive as readable documents, not a stack of paper. DashQuill reads each one, summarizes it, and proposes the Practice Fusion patient it belongs to. Filing it to that chart takes one click. If the patient does not exist yet, the fax itself can create them.

What happens when a fax arrives

The tedious part of faxing is not receiving it. It is working out who it belongs to and getting it onto the right chart.

1

Keep or replace your number

Port the fax number referring offices already have, or start with a new one. Nothing physical is installed either way.

2

Faxes arrive read

Each fax arrives summarized, tagged by type, and matched to a Practice Fusion patient, rather than as an unlabeled page count.

3

File to the chart

Confirm the match, and the document files to that chart. If the person is not in the system yet, the fax can create the patient.

What practices say

A fax can create the patient

Practice Fusion is the only integration where this works today. A referral for someone who has never been seen at your office does not need a manual new-patient entry before the document has somewhere to go.

  • Create a new Practice Fusion patient from an inbound fax
  • Or update an existing patient from what the fax contains
  • Incoming documents are matched to Practice Fusion patients automatically
  • Referrals can be generated from the chart and sent out

Sending works from the chart you are already in

Faxing a chart out is normally a print-scan-send loop. Here it starts from the Practice Fusion patient you have open, which also means the outbound copy is associated with the right person from the start.

  • Fax a patient chart directly out of Practice Fusion
  • Send from the chart without printing or rescanning
  • Annotate, fill and sign inbound documents before forwarding
  • Cover pages and recipients are reusable rather than retyped

One inbox, and it belongs to the practice

Faxes land in a shared inbox with provider and virtual sub-inboxes, so a referral for one physician is not buried in a queue everyone ignores. Documents are tagged and can be marked resolved, so you can tell what has been dealt with.

  • Provider and virtual inboxes instead of one undifferentiated pile
  • Tags and a resolved/unresolved status so nothing gets forgotten
  • Full-text search across everything received
  • Split a combined multi-patient fax into separate documents

Questions we get asked first

The things Practice Fusion practices want settled before a demo.

Can we keep our existing fax number?

Yes. Numbers can be ported, so referring offices and pharmacies do not need to be told anything changed. You can also run a new number alongside the old one during a transition.

How good is the patient matching?

It proposes a match rather than filing silently. A person confirms before anything reaches a chart. Where the document is for someone not yet in Practice Fusion, the fax can create that patient instead of forcing a manual entry first.

What about a fax that contains records for several patients?

It can be split into separate documents and each part filed to its own chart. This is common with records requests and batched lab results.

Do we still need a fax machine or a phone line?

No. It is cloud faxing, so there is no analog line, no machine, and no toner. Staff work from the browser, which is also what makes the chart filing possible.

Does anything get filed without a person looking at it?

No. The AI does the reading, summarizing, and matching, but a staff member approves the filing. That keeps a misread document from ending up on the wrong chart.

Is it HIPAA compliant?

Yes. Documents are encrypted in transit and at rest, access is logged, and a Business Associate Agreement is signed during onboarding. Our HIPAA compliance page has the detail.

The demo takes fifteen minutes. It is worth seeing if your team currently prints faxes to scan them back in.
